Service call request agent: from inbound request to a routable job
Capture service and support requests from shared mailboxes, portals, and phone notes, resolve the customer, site, and equipment against your master data, and open a complete record in your ERP or field-service system.
A service request is a revenue event that looks like an email
Breakdown reports, maintenance requests, warranty claims, and follow-ups on open jobs land in a shared mailbox alongside everything else. The equipment is half-identified, the site is named the way the customer says it rather than the way your ERP spells it, and the serial number is missing. Someone has to read each one, work out what it refers to, chase what is absent, and type it into the system dispatchers actually work from.
While that happens, the customer assumes work is scheduled. Two people open the same request twice. A warranty claim gets opened as a billable job. And the backlog nobody has entered yet is invisible to whoever is planning capacity.
Every stage, handled
The Service Call Request agent takes a request from arrival to a routable job:
- Capture: ingests requests from shared service mailboxes, customer portals, and notes written up from phone calls.
- Resolve: matches customer, site, and equipment against your master data, so a description resolves to an asset record rather than to a guess.
- Chase what is missing: follows up incomplete requests in the original thread until the record is complete enough to dispatch.
- Review where it counts: warranty versus billable, priority, a customer on credit hold. The judgement calls pause for a person.
- Open the record: creates a complete service record in your ERP or field-service system, linked back to the original request.
Fits the systems you already run
The agent writes to whichever system your dispatchers work from (the ERP service module, a field-service platform, or a ticketing tool) and reads from the channels requests already arrive through. No migration, no second queue for your team to watch.
The payoff
Requests acknowledged and opened the day they arrive, a dispatch board that matches real demand, and fewer of the duplicate and miscategorised jobs that turn into credits later.
